Job purpose

 

We are seeking a talented and experienced Personal Assistant (PA) who will be accountable for managing the organizational and operational day-to-day running of all arrangements and project co- ordination in support of our CEO, ensuring that our CEO is able to work with maximum productivity and efficiency. This pivotal role is Client-facing and the PA will make a key personal contribution to our successful Client partnerships across the world.

 

Scope

 

Provide diary management support to the CEO working across all teams as well as with external consultants, partners, clients and speakers.

 

Key accountabilities

 
  • Extensive diary management  - scheduling c 40 meetings per week

  • Scheduling online meetings using various video platforms such as Zoom and MSFT Teams

  • General organisation of the CEO’s administration – expenses, contracts

  • Coordinating and helping to drive the CEO’s new client and new partnership development– primarily via setting up and managing meetings and calls with clients and prospective clients, and ensuring timely follow-ups for the agreed actions and next steps after meetings

  • Managing internal team meetings including agendas, minutes, follow-up actions - ensuring all meetings have agendas, follow ups

  • Thinking around and planning client entertainment / events / seasonal gifts

  • Carrying out research into organisations and individuals that the CEO is meeting, or speaking alongside at events

  • Social media support – ensuring all contacts are connected on LinkedIn

  • Ensuring all meeting notes, actions and updates are on the CRM (Microsoft Dynamics)

 

Knowledge, skills and experience required

 
  • Must be a perfectionist with a superb eye for detail with excellent written English

  • Able to turn around a high-volume of work quickly, and work in a dynamic start-up style environment

  • Ability to work and build relationships remotely

  • An effective, efficient, highly organised, lateral thinker - someone who can “find a way”  

  • Good knowledge of London travel – how to schedule (post covid) multiple location days (eg 8 different locations across London

  • Highly client-orientated - with the ability and experience to work at senior levels,

  • Strong at influencing outcomes, working with teams and service providers on collaborative projects to deliver high quality results to agreed timescales

  • A proactive vs. reactive thinker – an instinctive and habitual planner vs. someone preferring to operate ‘on the fly’  

  • Excellent verbal and written communication and outstanding interpersonal skills

  • Discretion and confidentiality

  • Experience of scheduling across global time zones

  • Experience of communicating and building relationships at all levels from Board and “C”-level downwards and proven experience in communicating with other Leader and Board PAs to build highly effective working relations

  • Strong IT skills including Word, Excel, PowerPoint, Outlook, Office365, Zoom, Microsoft Dynamics             

  • Ability to multitask and prioritize, as driving multiple projects at any one time is required – demonstrably proactive within a flexible and Client-reactive environment

  • Ability to perform and deliver under pressure, working to deadlines in a constantly changing environment

  • Ability to maintain an energetic and enthusiastic outlook particularly during times of high pressure

  • A well-rounded and level-headed individual with a holistic understanding of their role, influence and impact on the success and team culture of the company

  • Outcome-focused and able to understand the impact each decision and task can have on the broader business and on others’ priorities

  • High emotional intelligence and empathy, with the ability to anticipate, read and understand other people’s needs and pressure points
